Front Desk Receptionist / Administrative Assistant

Our established non-surgical hair restoration center in Westchester County is seeking an experienced Front Desk Receptionist / Administrative Assistant to become an essential part of our team.
This is more than a front desk role, it’s an opportunity to be the first point of connection for clients who trust us during a very personal chapter of their lives. Our center operates as a private salon, requiring professionalism, compassion, and exceptional organizational skills.
About the Role:
You will manage all facets of front desk and administrative operations while supporting the founder and hair replacement specialists. This position is ideal for someone who enjoys variety, takes pride in organization, and values delivering an exceptional client experience.
Key Responsibilities
Greet and assist clients with warmth, discretion, and professionalism
Answer phones, respond to emails, and manage client inquiries promptly
Schedule consultations and appointments, including coordinating out-of-state client visits with detailed pre-visit information
Check clients in and out, process payments, and assist with product purchases
Coordinate and manage schedules for hair replacement specialists
Maintain client contracts, confidential files, and required documentation
Prepare and manage Excel spreadsheets, forms, and administrative reports
Oversee inventory, place and track orders
Escort clients to treatment rooms and ensure a smooth in-center experience
Work closely with the founder to coordinate schedules and maintain organized records
Assist team members as needed and contribute to a collaborative environment
Qualifications
Minimum 2 years of experience as an administrative assistant, receptionist, or scheduling coordinator
High level of computer proficiency, including Excel, Microsoft Word, Outlook, and scheduling software
Excellent written and verbal communication skills
Highly organized, dependable, and detail-oriented
Ability to manage sensitive, private information with discretion
Friendly, articulate, and professional demeanor
Empathy and understanding when working with men, women, and children experiencing hair loss
Prior experience in a medical office, spa or specialty practice is a plus
Work Expectations
Arrive 10 minutes before opening to prepare for the day
Ability to stay until the end of the workday and remain flexible when needed (overtime after 40 hours)
Must be a team player with a willingness to learn and grow
May be required to open or close the center when needed.

Full-Time
Full-Time Schedule:
Tuesday: 10:00 AM – 5:00 PM
Wednesday: 9:30 AM – 5:30 PM
Thursday: 10:00 AM – 7:00 PM
Friday: 9:30 AM – 5:30 PM
Saturday: 8:30 AM – 3:30 PM
The center is closed on Sunday and Monday
Saturday availability is required.
