Position Overview
We are seeking a hands-on Controller / Accounting & Payroll Manager to oversee all financial operations for a fast-paced temporary recruiting firm with high-volume weekly payroll and client billing. This role is critical to ensuring accurate, compliant, and timely payroll processing, invoicing, financial reporting, and cash flow management. The ideal candidate has deep experience in staffing or professional services environments, thrives in high-volume transactional settings, and can operate both strategically and tactically.
Key Responsibilities
Payroll & Timekeeping
• Oversee and manage high-volume weekly payroll for temporary and contract employees across multiple clients and job classifications
• Ensure compliance with federal, state, and local payroll laws (including overtime, multi-state payroll, garnishments, and wage-hour regulations)
• Reconcile payroll reports, taxes, benefits, and deductions
• Resolve payroll discrepancies quickly and accurately
Client Billing & Accounts Receivable
• Oversee weekly client billing based on timecards, pay rates, bill rates, and client-specific agreements
• Ensure accurate markup calculations, billing compliance, and timely invoice delivery
• Manage accounts receivable, collections, and cash application
• Monitor client credit limits and exposure
• Partner with operations and sales teams to resolve billing disputes
Accounting & Financial Management
• Manage the general ledger, month-end close, and reconciliations
• Prepare monthly, quarterly, and annual financial statements
• Maintain job costing, gross margin analysis, and profitability reporting by client and recruiter
• Oversee accounts payable and expense management
• Ensure proper revenue recognition and accruals
Leadership & Process Improvement
• Improve systems, workflows, and controls to support growth and scale
• Evaluate and optimize payroll, timekeeping, and accounting systems
• Provide financial insights and recommendations to leadership
Qualifications
• Bachelor’s degree in Accounting, Finance, or related field
• 5–10+ years of progressive accounting experience, with significant staffing, recruiting, or professional services experience strongly preferred
• Proven experience managing high-volume weekly payroll
• Strong knowledge of payroll compliance, multi-state payroll, and labor laws
• Experience with staffing ERP/payroll systems (e.g., Bullhorn, ADP, Paychex, Paylocity, QuickBooks, NetSuite, or similar)
• Advanced Excel skills; strong analytical and problem-solving abilities
• Exceptional attention to detail and ability to meet tight weekly deadlines
