• Administrative Specialist Assisting Project Managers
• Responsible for non‐technical document generation, control, and review.
• Follows Project Executive and Project Manager’s direction for priority and format while following company policy for document control and procedure.
• Maintains full appreciation of project time frames and importance of achieving the time frame must be paramount
• Supports and coordinates project team , client, design group,
suppliers, and subcontractors with communications and records
• Develops project documentation as directed by Project Manager
• Organizes and maintains project files; both electronic and written
• Receives and distributes project information (drawings, sketches, specs, bulletins, and addendums) to team quickly and accurately. Maintains online depositories like Procore or drop box sites.
• Communicate documentation as necessary to vendors, Architects, clients, and any others project team members
• Coordinate and process subcontractor and supplier billing and payments
• Manage insurance compliance and tracking for the project under Project Manager
supervision
• Assists Project Manager to develop client change orders and supporting documentation
• Writes subcontractor change orders per direction from Project Manager.
• Prepares weekly meeting documentation. Gathers information from Superintendent, PM
or other sources, as necessary. Prepares and maintains minutes of all meetings.
• Prepares Operation and Maintenance manuals. Collects all closeout documentation at
• the end of the project.
• Special projects as directed by Senior Project Manager
