We are seeking a detail-oriented and experienced Human Resources Specialist to join our New York team. This hands-on role is responsible for managing core HR functions with a strong focus on payroll, benefits administration, workers’ compensation, compliance, and employee policy development. The ideal candidate will thrive in a fast-paced, small-company environment where your contributions directly support our team and operations.
Key Responsibilities
Process accurate and timely payroll for all New York-based employees, ensuring compliance with federal, state, and local regulations
Administer workers’ compensation claims, including reporting, documentation, and coordination with carriers and employees
Conduct employee license checks (e.g., driver’s licenses, CDLs) and maintain related compliance records
Manage disability benefits (short-term and long-term) and New York State Paid Family Leave (PFL) program, including claims processing and employee support
Serve as the primary point of contact with external insurance brokers for health, dental, life, and other benefits; handle open enrollment, renewals, and ongoing communications
Oversee 401(k) and retirement plan administration, including employee enrollments, contributions, compliance testing, and record-keeping
Develop, update, and maintain the Employee Handbook; design and deliver training programs on company policies, rules, regulations, and compliance topics
Ensure overall HR compliance with all applicable laws (FLSA, FMLA, NY State Labor Law, etc.) and maintain confidential employee records
Support additional HR initiatives such as onboarding, policy implementation, and employee relations as needed
Qualifications
2+ years of progressive HR experience with a strong emphasis on payroll processing, benefits administration, workers’ compensation, and compliance (experience in New York State regulations is highly preferred)
Solid knowledge of 401(k) plans, disability/PFL programs, insurance coordination, and employee handbooks/training
Experience with payroll systems (ADP, Paychex, or similar) and HRIS platforms preferred
Excellent organizational skills, high attention to detail, and the ability to handle confidential information with discretion
Strong communication and interpersonal skills; ability to work independently and collaborate across teams
Proficiency in Microsoft Office Suite (especially Excel)
Bachelor’s degree in Human Resources, Business Administration, or related field preferred (or equivalent combination of education and experience)
Bilingual English/Japanese/Chinese is a plus but not required
