Job Summary: Own all admin for a real estate development business across multiple projects (renovations, retail, luxury resi, short-term rentals, ground-up development). Keep schedules, documents, vendors, and bills organized and moving.
Key responsibilities:
Inbox + calendar management; scheduling; reminders + follow-ups
Track invoices/payables by LLC/project; weekly bills-to-pay report; coordinate with bookkeeper/CPA
Document control: contracts, COIs/W-9s, permits/filings, insurance, utilities, leases
Vendor/sub coordination: bids, onboarding, status updates, access/deliveries
Simple trackers for deadlines/open items/next steps
General admin: mail/scanning, ordering supplies, basic research, phone calls, running errands locally as needed
Preferred to have: 2+ yrs admin/ops experience (real estate/construction preferred), extremely organized, strong and fast follow-through, solid communication, comfortable with sensitive docs, strong Google/Microsoft skills.
