Billion-dollar Global Holding Company in Midtown Manhattan is seeking a new full-time/permanent Executive Assistant to provide primary, hands-on administrative support to the Sector Heads and Portfolio Managers of the investments team, with additional ad hoc project management support. Candidates must have a minimum of 2-5+ years of relevant experience working as an assistant in a team-oriented environment and a Bachelor’s degree is required. This is an ideal role for an emerging, scrappy, and hungry professional who is eager to master the administrative foundation of a high-performing team. While the core of this role is rooted in impeccable execution of baseline support, they are looking for a candidate with a genuine desire to go beyond the status quo–someone who is naturally curious and proactive in identifying ways to improve team efficiency. The team mindset is that every task is critical, and the person would be responsible for assuring that the Investments professionals’ day to day operations run smoothly and effectively. Salary depends on experience (90-130k base) plus paid overtime and discretionary bonus eligibility. Comprehensive benefits!
Hours are 9:00am-5:00pm, with flexibility at nights and on weekends as needed (any overtime is paid!). 5 days in office.
Responsibilities:
Track events and coordinate upcoming travel.
Create and manage processes throughout the investments team.
Cross-collaborate with multiple stakeholders and manage competing priorities.
Responsible for calendar management, expense management & reimbursements, booking conferences, and heavy team coordination.
Workflow innovation: Once core responsibilities are mastered, identify and explore software or AI tools to help automate repetitive tasks and streamline administrative workflows.
Relevant qualifications and characteristics:
2-5+ years of relevant experience as an assistant in a team-oriented support environment.
Undergraduate/Bachelor’s degree required.
Desire to go beyond baseline responsibilities; someone who is driven to do more than just excel at the basics.
Willingness and ability to master the “basics” with excellence, while maintaining the capacity to think strategically about process improvement.
Collaborative approach to managing a heavy workload.
Proactive and responsive mindset with a no-task-too-small attitude.
Impeccable communication, organizational, and prioritization skills, with a focus on project management and white-glove support.
