Leading and Well-Known Global Asset Manager in Midtown Manhattan is seeking a new Full-Time/Permanent Coordinator to join its Corporate Communications, Marketing, and Brand team. This person will provide high-level executive administrative support to the Partner and Global Head and assist with a variety of project-based work. Candidates must have a minimum of 7+ years of applicable experience supporting C-level executives, ideally within financial services, and a Bachelor’s degree is required. They should be incredibly polished and professional, highly organized, detail-oriented, proactive, and accustomed to working in a dynamic, fast-paced environment. Hours are 8:30am-5:30pm/9:00am-6:00pm, with flexibility. Hybrid work schedule (4 days in office / 1 day remote).
Responsibilities:
Manage executive time holistically, including scheduling meetings, coordinating international and domestic travel and off-sites, and managing logistics, budgeting, and expense processing.
Screen and prioritize a large volume of meeting requests from a multitude of internal and external stakeholders – via email and phone – and maintain a positive, professional, and courteous manner at all times.
Maintain multiple complex and fast-changing calendars.
Proactively prepare, edit, and format meeting materials, PPT presentations, reports, and routine correspondence.
Anticipate meeting needs, deadlines, and logistics.
Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents, coordinated visas as necessary.
Allocate and process expenses for professionals. Process and code invoices; identify and implement process improvements.
Manage contracts, NDAs, and vendor onboarding in coordination with internal partners.
Help with the maintenance of internal repository of files via Box system.
Manage onboarding logistics for new team members.
Participate in weekly team meetings and support follow-ups as needed.
Monitor and respond to occasional after-hours correspondence.
Requirements/Qualifications:
Minium 7+ years of administrative assistance experience or training supporting C-suite executives.
Experience supporting a group of professionals in a corporate environment is highly preferred. Experience in the finance industry or communications preferred but not required.
Bachelor’s Degree required.
General interest and/or experience in Finance and/or Communications or Marketing a plus.
Ability to act independently and with minimal oversight.
Detail-oriented with strong communication, organization, and time-management skills.
Ability to thrive in a fast-paced environment and manage multiple projects simultaneously.
High level of discretion and professionalism, especially when working in the presence of executives.
Ability to handle sensitive information and communicate appropriately.
