Position Description and Requirements
Position Title: Marketing and Administrative Assistant
Summary of Position: Provides support to Marketing Director and President to implement multifaceted marketing plan including regular email communications, seminar development, social media, conference support, direct mail and client relations.
Position Requirements: Associates Degree or better. Computer literate; Excellent communication and interpersonal skills; Demonstrates initiative and self-direction; Strong organizational planning skills; proficiency in social media platforms; High level of tact and professionalism, Strict confidentiality required in personal and phone contacts; church/parish experience a plus.
Organizational Relationships: Reports to Marketing Director and President. Works collaboratively with Campaign Directors as it pertains to collecting data and marketable campaign particulars.
Supervision and Guidance Received: Operates with a regular degree of direct supervision; Regular communication with Director and President as needed; Daily contact with other office staff.
Working Conditions: Normal. Some lifting of materials required.
Responsibilities: Including, but not limited to:
• Daily Duties supporting the Corporate Mission:
o Assisting Mr. Kevin Lynch with all activities associated with his role as President of Lynch Development (i.e. Contracts/Proposals etc).
o Assisting Mr. Lynch in developing marketing materials and a marketing plan for Lynch Development Associates (Brochures, Website Development, Seminar Implementation, National Conference, Twitter, Facebook, Social Media etc).
o Implementation, Customer Service and Implementation of Pledge Redemption System.
o Office Management responsibilities including Training Session preparation.
o Support of Campaign Directors and implementation of Feasibility Study Survey Marketing Mailings
o Assistance with development of Printed and Video Production Materials.
• Regular Email Communications via iContact or similar platform
o Maintain multiple targeted databases;
o Format and disseminate submitted copy in a monthly newsletter format;
o Collect and format data for quarterly campaign success updates;
o Coordinate and launch holiday greetings.
• Seminar Development
o Produce promotional and registration flyers (both hard-copy and digital);
o Coordinate registration process;
o Organize and assemble promotional materials;
o On-site coordination may be required.
• Social Media
o Format and post regular communications via LinkedIn, FaceBook and Twitter;
o Research and make recommendations for expansion of reach;
o Regularly monitor current trends in order to institute best practices.
• Conference support
o Organize conference submissions deadline calendar;
o Collect and submit conference materials;
o Coordinate marketing materials, proofs, quantities and shipping.
• Direct Mail
o Assemble materials for bi-annual direct mailings;
o Perform targeted mail merge and production of mailings;
o Secure shipping methods.
• Client Relations
o Follow-Up with clients on a scheduled basis;
o Obtain usable testimonial/recommendation letters;
o Request and coordinate post campaign activities;
o Alert senior management of any issues.
