We are looking for a Receptionist/Admin Assistant for a contract assignment that is located near the Brooklyn Army Terminal. This in an onsite position working Monday through Friday. 8am to 5pm in office every day,
Responsibilities include:
This person in this role will support on-site operations during a high-volume event season. This role will serve as a key front-of-house and administrative support resource for high profile client visitors.
The ideal candidate is highly organized, professional, responsive, and comfortable managing multiple priorities in a fast-paced operational environment.
Front Desk & Support
Serve as the primary front desk presence and first point of contact for visitors and vendors
Field incoming calls, emails, and general inquiries and route requests appropriately.
Provide professional customer service and support
Coordinate visitor access and assist with day-to-day reception operations
Operational & Administrative Coordination
Support on-site operational activities during a heavy event season.
Assist with scheduling requests, calendar coordination, and meeting logistics.
Serve as the point of contact for Operations and Project Management site tour requests and on-site visits.
Maintain organized records, logs, and administrative documentation as needed.
Billing & Project Support
Assist with billing processing, invoice tracking, and administrative follow-up.
Support internal teams with data entry, filing, and routine reporting tasks.
Help coordinate operational requests and follow-through between internal departments and external stakeholders.
Support and field questions on newly launched operational projects
Flexibility to perform other tasks as needed.
Minimum of 1 to 3 years related front desk office experience.
