Greenery NYC is seeking an exceptionally organized, proactive, and hands-on Project Coordinator to support our installation and production team.
This role is ideal for someone who thrives on organization, logistics, systems, and execution — while also being comfortable stepping into warehouse operations, staging materials, unloading deliveries, or assisting with plant installations when needed.
You will work closely with the Project Manager, Sales team, and Design team to ensure projects move efficiently from planning through installation. Success in this role requires strong attention to detail, excellent communication skills, adaptability, and a willingness to do whatever it takes to keep projects on track.
This is not a desk-only coordination role. We are looking for someone equally comfortable managing spreadsheets and schedules as they are helping organize materials in the warehouse or unloading a shipment of plants alongside the team.
Key responsibilities include:
Project Coordination & Logistics:
- Support the Project Manager in coordinating project timelines, logistics, materials, and production schedules
- Utilize Monday.com, planting sheets, and production calendars to ensure projects remain on schedule
- Coordinate freelance labor support for planting, staging, and installations
- Communicate with third-party vendors and delivery teams to schedule and track shipments
Administrative & Operational Support:
- Maintain accurate and organized project documentation, purchasing records, and status updates
- Track project milestones, expenses, and procurement using Monday.com, Aspire, Google Workspace, and Excel
- Organize and maintain inventory of plants, planters, and production materials
- Assist with sourcing and ordering materials for active projects
Team & Installation Support:
- Assist with planting, staging, quality control, and installation preparation as needed
- Help maintain Greenery NYC’s standards for plant health, planter quality, and installation excellence
- Support warehouse operations and deliveries, including lifting and moving materials when necessary
Communication & Collaboration
- Maintain clear communication across internal teams, vendors, and clients
- Participate in weekly production meetings and proactively identify potential issues before they impact timelines
- Help create efficient systems and processes that improve project execution
Qualifications:
- 2+ years of experience in project coordination, operations, logistics, customer service, or administrative support
- Exceptional organizational skills and strong attention to detail
- Strong proficiency in Google Workspace and Excel; experience with Monday.com or other project management platforms preferred
- Ability to manage multiple moving priorities in a fast-paced environment
- Strong communication skills and high emotional intelligence
- Proactive, resourceful, and solutions-oriented mindset
- Comfortable working both independently and collaboratively
- Interest in plants, design, architecture, or interiors is a plus
- Willingness to contribute to both administrative and hands-on operational tasks as needed
Physical Requirements:
- Ability to stand, walk, bend, lift, and move materials throughout the workday
- Comfortable lifting and carrying heavy items, including plants and production materials
- Ability to work in warehouse, installation, and outdoor environments that may include humidity, dust, pollen, and varying temperatures
- Commitment to maintaining safe working practices and awareness on job sites
