We are seeking an experienced Intake Specialist who is empathetic, confident on the phone, and highly effective at securing signed retainers while opening all claims related to personal injury cases accurately and efficiently.
Position Overview:
This role is the front line of the firm. You will handle volume intake calls, both in person and through virtual intakes, and your responsibility is to professionally guide every qualified caller through the intake process and secure their engagement with the firm.
This is a process-driven role. Intake Specialists are expected to follow established scripts and procedures and are not required to make legal judgments about case value or merit. Your job is to complete intakes, which includes understanding and documenting how the accident occurred, opening claims, and moving all potential cases forward quickly and consistently in an organized fashion.
Key Responsibilities:
Handle a high volume of inbound and outbound intake calls with professionalism, empathy, and urgency
Conduct thorough initial client interviews and complete intake forms accurately
Secure signed retainers for all qualifying motor vehicle accident cases and applicable premises liability matters
Complete virtual intakes efficiently and confidently
Contact insurance companies to open claims and obtain claim numbers
Open all claims related to personal injury cases, including:
No-Fault claims
Bodily Injury claims
Property Damage claims (as needed)
Lost-wage / disability claims (as needed)
Prepare and submit No-Fault Letters of Representation and NF Applications within statutory deadlines (including 30-day requirements)
Draft and send letters of representation to insurance carriers
Gather police reports, insurance details, medical information, and accident facts
Enter and maintain accurate data in SmartAdvocate
Schedule consultations and ensure smooth handoff to attorneys and paralegals
Monitor outstanding intake items and follow up with clients and insurance carriers to prevent delays
Prepare new client files so they are complete, organized, and attorney-ready as soon as possible after intake
Maintain compassionate, reassuring communication with injured or distressed callers
Follow intake scripts and firm protocols consistently to maximize intake results
Work closely with the legal team to ensure cases are opened quickly, cleanly, and completely
What We Are Looking For:
Prior experience as an intake specialist in a personal injury law firm or No-Fault environment strongly preferred
Demonstrated ability to handle high call volume and close intakes efficiently
Strong phone presence with the ability to build trust quickly
Naturally empathetic, calm, and reassuring with injured clients
Strong working proficiency with personal injury case management and lead systems, including SmartAdvocate, Lead Docket, and Filevine
Comfortable following scripts and structured processes
Bilingual Spanish/English strongly preferred
Excellent attention to detail and accuracy
Reliable, punctual, and able to thrive in a fast-paced environment
Must be able to work on-site Monday through Friday
